Procedure for recording change in address

For securities held in physical form, please submit the following documents:
  • A covering letter requesting us to update your new address.
  • Self-attested copy of PAN card.
  • Self-attested copy of new address viz. valid Passport or Aadhaar Card or Election Identity Card or Electricity / Telephone (only land line) bill / Bank Account Statement / Passbook (which is not more than 3 months old).
  • Affidavit



Procedure for transfer of shares

For securities held in physical form, please submit the following documents:
  1. Duly filled out form no. SH-4
  2. Self-attested copy of the PAN card of the transferor and transferee
  3. Stamp duty should be affixed on the transfer deed at 0.25% of the market value or consideration amount (whichever is higher). The date for calculation of stamp duty should be the same as the execution date mentioned in the transfer deed. **Please note that for transactions in the state of Maharashtra, share transfer stamps are banned by the government and hence the transfer deed should be franked by the bank.

Procedure for issue of duplicate share certificate

Please provide the following documents for issue of duplicate share certificate:
  1. Questionnaire Form
  2. Certified copy of FIR / Police Complaint of nearest police station.
  3. Self attested PAN card copy of the shareholder(s), two sureties & two witnesses.
  4. Indemnity bond, Surety bond & Affidavit.
  5. Newspaper Advertisement in one National language & one regional Language where the Registered Office of the company is situated (If the current market value of shares is above Rs.10000).
  6. A covering letter mentioning the request to do so

Procedure for transmission of shares

Please provide the following documents for transmission of shares:
  • For market value of securities upto Rs. 2 lakh:
    1. Duly signed transmission request form from applicant.
    2. Original Share Certificates.
    3. Attested copy of Death Certificate by Notary Public / Bank Manager / First Class Magistrate /Gazetted Officer.
    4. Self-attested PAN card copies of the applicant(s)
    5. Affidavit from all legal heirs.
    6. Attested copy of Registered Will/Probate/Succession Certificate/Letter of administration. If Probate/Succession Certificate/Letter of Administration is unavailable, then please provide:
      1. A No Objection Certificate (NOC) from all legal heirs.
      2. Indemnity bond and Surety bond. Along with indemnity bond, self-attested PAN card copy and address proof of both sureties and witnessed required.
  • For market value of securities more than Rs. 2 lakh:
    1. Duly signed transmission request form from applicant.
    2. Original Share Certificates.
    3. Attested copy of Death Certificate by Notary Public / Bank Manager / First Class Magistrate /Gazetted Officer.
    4. Self-attested PAN card copies of the applicant(s)
    5. Affidavit from all legal heirs.
    6. Attested copy of Registered Will/Probate/Succession Certificate/Letter of administration.



Procedure for duplicate cum transmission of shares

Please provide the following documents for issue of duplicate share certificates along with transmission of shares:
  1. Certified copy of FIR / Police Complaint of nearest police station.
  2. Self attested PAN card copy of the shareholder(s), two sureties & two witnesses.
  3. Attested copy of Death Certificate by Notary Public / Bank Manager / First Class Magistrate /Gazetted Officer
  4. Attested copy of Probate/Succession Certificate/Letter of administration. If not available, then please submit an Indemnity bond, Surety bond & Affidavit.
  5. Newspaper Advertisement in one National language & one regional Language where the Registered Office of the company is situated (If the current market value of shares is above Rs.10000).
  6. No Objection Certificate from other legal heirs.
  7. A covering letter mentioning the request to do so



Procedure for deletion of name

If the shares are held in joint names and one of the joint holder is deceased, the surviving joint holders will have to submit the following documents:
  1. Original Share Certificates
  2. Attested copy of Death Certificate by Notary Public / Bank Manager / First Class Magistrate /Gazetted Officer
  3. Self attested copy of PAN card of the survivor.
  4. Duly completed Deletion Form

Procedure for availing nomination facility

Shareholders may give authority to another person to deal with shares registered in their name by submitting form no. SH-13. To cancel a nominee and nominate a new person, please submit form no. SH-14.



Procedure for updating specimen signature in our records

To update your signature with us for securities held in physical form, please submit an Affidavit for the same.



Procedure to apply for change in name

For individuals:
  1. Attested copy of Marriage Certificate / Divorce Decree duly attested by Notary Public / Bank Manager / First Class Magistrate
  2. Original share certificates
  3. Self-attested copy of the PAN card of shareholder

For Corporate Body:
  1. Certificate of Incorporation
  2. Memorandum and Articles of Association
  3. The Board Resolution signed by the Company Secretary/Directors on the letter head of the Company empowering the signatories to sign on behalf of the Company along with the specimen signature of the Authorized signatories is also to be submitted.

For Trust:
  1. Certificate of Registration
  2. Trust Deed
  3. The Resolution signed by the Secretary/Trustee on the letter head of the Trust empowering the signatories to sign on behalf of the Trust along with the specimen signature of the Authorized signatories is also to be submitted.



Procedure to split/consolidate share certificates

Please submit the following documents:
  1. Original share certificates
  2. A covering letter duly signed by all shareholders
  3. Self-attested copy of the PAN cards of all shareholders.
  4. Affidavit



Procedure to amalgamate/consolidate multiple folios

Please note that all the folios to be consolidated should be in the identical name and in the same order of identical names bearing the same address. Please submit the following documents:
  1. Amalgamation form duly completed and signed by all holders
  2. Relevant share certificates
  3. Self-attested copy of the PAN cards of all shareholders.



Procedure for dematerialization of shares

  1. Shareholders may open a demat account with a SEBI-registered depository participant (DP) of their own choice.
  2. Submit the demat request form (DRF) along with the share certificates to the DP.
  3. The DP will forward the demat request to us and if found in order, we shall confirm the same.
  4. In the books of the company, your holding will be debited from your folio and credited to your demat account.
  5. The process will take up to 21 days from date of submission of demat request form to DP
  6. Once shares are dematted, all corporate benefits including dividend, bonus, interest, rights shares will be directly credited to your demat account.



Procedure to rematerialization of shares

Shareholders may convert their electronic shares into physical form by submitting a remat request form to their DP. The DP will then forward the same to us and we shall issue fresh share certificates in your name. The process usually takes upto 30 days.
